Customer Service and Accounting Assistant - Head Office - Calgary

Sunterra Retail Office team members work day-to-day to support the busy operations in our stores. The Accounting Team plays a vital role in ensuring financial accuracy and operational efficiency across the business. This position focuses on customer service, retail reconciliation, document management, and administrative support, contributing to both the customer experience and internal operations.
Professionalism, the ability to multi-task, strong teamwork skills, and a passion for food and service are essential!
Duties and Responsibilities:
Scope of Responsibility includes but is not limited to:
Customer Service
• Provide reception and phone coverage to support the Retail Office Accounting team.
• Communicate effectively with Retail Office staff, Store teams, and the general public.
• Deliver legendary customer service through timely and professional interactions.
Retail Sales Reconciliation
• Monitor daily electronic submissions of retail sales and follow up as needed.
• Organize and prepare physical sales packages for long-term storage.
• Track and monitor cash and coin deposits from stores.
• Communicate policies and escalate issues when necessary.
Document Management
• Maintain organized storage systems for accounting and administrative documents.
• Support cheque scanning processes as needed.
• Assist with documentation updates, purges, and policy tracking.
Fresh Rewards Program Support
• Process manual points additions and redemption form confirmations.
• Conduct mail merges for new customer accounts.
• Prepare and mail Fresh Rewards cards.
Human Resources Support
• Process Team Member (TM) performance rewards and other incentive programs.
• Create TM discount cards and accounts.
• Print anniversary cards and prepare orientation/hire packages as needed.
• Support job fairs through printing and administrative assistance.
General Administrative & Accounting Support
• Assist with various administrative tasks and document management within the Accounting Department.
• Create and update training documents for routine processes.
• Participate in reporting, analysis, and special projects.
• Contribute to a collaborative team environment and grow into additional responsibilities.
Qualifications:
• Post-secondary education in Business Administration, Accounting, or related field preferred.
• Previous experience in customer service, accounting, or administrative support required.
• Proficient in Microsoft Office (Excel, Word, Outlook, Office 365).
• Strong organizational and communication skills.
• Ability to manage multiple tasks and prioritize effectively.
• Detail-oriented with a commitment to accuracy and confidentiality.
• Professional, approachable, and team-oriented.

Additional Information
• Required availability: Monday–Friday, 8:00am–5:00pm
